Conference

The conference team deliver a range of services to conference and business event organisers and run a free venue finding service for those looking to bring events to the city. 

While this can often be as simple as finding a meeting room for a client, it can often be complex, producing bid documents on behalf of clients or with ambassadors, organising site visits or producing a comprehensive overview of how clients can organise drinks receptions, delegate accommodation, dinners and entertainment programmes.

Although clients will often contact us directly, the team also follow up pro-active leads looking at key sectors and events which would suit the city both in terms of content and venue.

There is a comprehensive events programme where the team take Bristol to the buyers both in the UK and overseas.

Working with the marketing team, there is a range of marketing activity including digital, social and e-comms.

Shelley Worrall - Conference Sales Manager

How long have you been with Destination Bristol and what do you do?

I joined Destination Bristol in 2009 to lead a new proactive sales drive to boost the number of conferences and business events in the city. I manage the day to day running of the conference team and oversee the company’s venue finding service.

Do you have a typical day?

Not really, but that is one of the things I love about my role and it certainly keeps me on my toes and out of trouble! I could be doing anything from accompanying a client site visit or fam trip, attending an industry event or exhibition in the UK or overseas, or producing bid documents and proposals for client events. One of my favourite parts of the job though is meeting with clients and showing them round our wonderful city. If we can get people here I think the city really can sell itself!

What’s your top tip for businesses working with Destination Bristol?

Please share as much as you can, tell us everything! With conference enquiries in particular please read the brief carefully and respond to ALL questions with as much information as you can. Help us make our proposal and your venue irresistible!

Lesa Walker - Conference Executive

How long have you been with Destination Bristol and what do you do?

I joined Destination Bristol in 2005 as a Conference Executive, when I joined we were based in St Nicolas Church which was an interesting office space sharing it with Archaeologists, some stunning large religious artworks, and our exhibition kit was based in the crypt and the lights were on a timer system so I you didn’t find what you were looking for quickly the lights would go off and you had to fumble around in the dark hoping to find your way out! We are now lucky enough to be based in the beautiful Queen Square. Although I started working in Destination Bristol as a Conference Executive, I have worked in various roles within Destination Bristol over the years but I am now back in the conference team where I am happiest as having a strong conference background having worked in the UK and Brussels for many years organising conferences/events for top management teams.

Do you have a typical day?

No day is not the same in the conference department – but this keeps us out of mischief! When we come in in the morning we do not know what conference/event delights/requests will await us! But day to day my main focus is on managing and responding incoming business client enquiries by phone, email or online for conference/event bookings. I also liaise with clients and venues on a daily basis, arrange site visits for clients and attend the visits with clients of needed. I follow up client enquiries on a regular basis to maximize the confirmed bookings. I attend exhibitions and familiarisation visits to promote the city as a business destination as well as a leisure destination. At the moment I'm getting to grips with our new online conference enquiry system – Venue directory system Gratis and also developing and promoting the GroupMax system – this system is an on line delegates accommodation system – a custom built system for conference organisers.

What’s your top tip for businesses working with Destination Bristol?

Always to keep us updated on any new information ornews stories, like refurbishment of venues and facilities, awards, special offers and any new PDF brochures. Always, always keep us updates on any changes in staff members so we have updated information and can contact the correct people and keep our membership database up to date. We all love Bristol and want to promote our fantastic city.

Lynsey McKinstry - Conference and Business Tourism Coordinator

How long have you been with Destination Bristol and what do you do?

I have been here 3 years now and work part time within the Conference Team. Coming from an leisure travel background travelling around the UK, USA and Indian Ocean,  I wanted to stay closer to home once I had my children. Luckily for me, this role came up with Destination Bristol so now I get to help our clients find their ideal venue for their event in my favourite home city of Bristol. And I also get to work with the best team!

Do you have a typical day?

I work within the conference team on all MICE related business, researching possible conferences for the city, putting together the MICE Marketing newsletters and dealing with general event and conferences enquiries that come into the office. I also help with any agents who come into the city on Familiarisation visits and show them what our wonderful city has to offer their clients or show any potential companies how we can make their event a success by choosing Bristol.

We love hearing from you! Regular communication with the team so we know who our best contacts are, what is unique about your venue and anything interesting we need to know about! The more we know, the more we can work with you.

Vicki Webb - Conference & Business Tourism Coordinator

How long have you been with Destination Bristol and what do you do?

I joined Destination Bristol in 2014, on a maternity cover contract and have never left. My role is to concentrate on selling our beautiful city as a conference destination and increase sales and new business for the conference team.

Do you have a typical day ?

Everyday is different as I never know what I will get asked for.  I could get a request for duck herding, a conference for 1000 delegates or even a cat show – the list is endless, which is why I love my job so much. 

What’s your top tip for businesses working with Destination Bristol?

To keep us up to date with everything that is happening in your business. We are very nosy people here at DB and we also get asked lots of different questions, so it nice to be aware of what is happening in the city as we can then spread the word. 

What is your favourite Bristol activity?

Eating -  Bristol has a brilliant variety of food establishments, ranging from great street food markets to Michelin starred Restaurants. So much food, so little time… (and money)
